Implementation plan
Workplace from Facebook

We needed a new communication channel that would change the rules of the game. Our organization's workplace is a central communication hub. Every month we have over 80% of logged employees and 50 active groups.

Magdalena Brzezińska

The first feelings of the employees were different. Euphoria was mixed with skepticism. Many people were afraid of information chaos. The Workplace algorithm quickly adapted to our communication. Today, by properly selecting messages for recipient groups and skillful selection of notifications, we have no problems with communication.

Template implementation plan

No two implementations of Workplace are alike. We carefully consider all individual needs of the organisation we’re helping to build a perfectly tailored strategy.

1st week

1. First consultation

The first meeting with a representative of the official Workplace from Facebook Partner is dedicated to examining the needs and core values of the organisation so we can adjust the social platform to the company’s culture from the very beginning.

2. Gathering the pilot project team

Some companies prefer to engage the whole community at once, but most decide to test the service out on a pilot group. It usually consists of about 15-20% of the community chosen from HR, IT, PR, marketing and management. Pilot project team members will become future Champions of Workplace community.

3. Technical adjustments

It’s time to set up an instance of your organization. You can do it on the official Workplace by Facebook page. After the registration, the 90-day trial period will begin, and you can start the platform configuration process with the help of our specialists.

2nd week

4. Management involvement

At this stage, it is good practice to organize a meeting of a Workplace representative with the decision-makers in the company. We will determine to what extent the management will be involved in the promotion of the new solution. The more recognizable people in the company will participate in the campaign, the more widely it will resonate among employees.

5. Communication strategy

For the custom of using the platform to take root in the organization, it is necessary to establish an individual communication strategy. What rules should be introduced? What language should you use on the platform? Based on our experience, we will tell you about the best communication practices, so the answers to the questions above will come naturally.

6. Service integration and data migration

Most companies already use some solutions for internal communication, file transferring or online cooperation. We’ll ensure that after the introduction of the platform you do not have to give it up. External services can be easily integrated with Workplace, and the data will be migrated to the platform.

3rd week

7. Determining the structure of the groups

Work on the Workplace from Facebook platform is based on the following types of discussion groups:
– opened and closed,
– official and private,
– internal and multi-company.

It is worth planning the structure of the main groups so that the platform can be filled with valuable content before day 0.

8. Admin training

Administrators, moderators and community Champions will play the key role on the platform. They are supposed to inspire employees to participate in discussions and ensure their compliance with rules. We will show you all the secrets of the control panel, so group management, permissions, settings etc. will become clear.

9. Draft of the informational campaign

The promotional campaign will inform all employees about the new business communication tool. But first, we need a plan. Together we will determine what information should be sent to employees through which channels so that everyone is ready and excited about the new possibilities.

4th week

10. Promotional mailing

Mailing is the key point in the campaign. It will contain comprehensive information about the platform. It is sent by C-level, recognizable person usually 7 days before the planned day 0. Everyone will have time to read the message and discuss perspectives created by the platform to grow the hype.

11. Pre-implementation review

It’s time to check if your platform is ready for a mass influx of users. With the help of an extensive checklist, we will check whether the configuration was successful, and all groups were filled with welcoming posts. We’ll also examine the distribution of administrative roles.

5th week - implementation

12. Day 0

Day 0 is the moment when all employees receive their login details and are invited to relevant groups. They should be welcomed on the platform by a video from the CEO or other recognisable company board member. We will organise competitions and publish engaging posts that will help people get used to the platform. From now on, we will supervise the growing number of users.
