The company serves thousands of customers for whom it conducts marketing campaigns in Google, Bing, Yandex, as well as social media channels such as YouTube or Facebook. They target multilingual audiences. Verseo also provides Campaign Manager, a proprietary platform for the automation and optimization of advertising campaigns.

Facing a turning point in the company’s development, the founders of Verseo were looking for a solution that would allow them to scale freely. However, their dynamically-growing marketing agency had specific needs – over the years it had developed a work system based on a set of external tools and add-ons. The main requirement for the new email service was integration with all these programs and a possibility to migrate the data.

When Verseo transformed from a small business to a medium-sized one, the email service we’d used for years no longer satisfied our needs. We chose G Suite because we needed more space for our data. Now, in retrospect, we know that unlimited space is only one of the benefits of the service.

Fast migration

During migration to the cloud, all emails from the old server were transferred to the company’s Gmail accounts – it was a seamless transition for the workers. For Verseo, insight into the mail archive is particularly important because the company has a large group of loyal, long-term customers. They often search the history of correspondence up to 5 years in the past to track what was agreed in the early stages of cooperation.

Frictionless transition

The process of migrating additional services (Analytics, Ads, Webmaster tool) went smoothly and did not cause any interruptions in the functioning of the agency. All the tools that the agency uses in their day to day work just as well (and often even better) with Google accounts.

If it wasn’t for G Suite, our agency wouldn’t be able to grow so quickly. We closed 2019 with a bang – over 28 million turnover. As many as 459 new companies joined us. G Suite supports us every day in scaling the company and accelerates our work, coordination of tasks and exchange of.

Verseo particularly appreciates the fact that Google is a renowned brand which not only provides high quality services, but also takes the needs of their business customers very seriously.

When Verseo had only a few employees, most of the services worked well. Unfortunately, not all of these services could efficiently scale to meet the needs of a 100-member team. At some stage of development, Verseo was juggling several hundred documents and and dozens of attachments – it quickly turned out that about 70% of applications available on the market were completely useless.

Every time I consider using a new application, I ask the question: what happens if we upload 100,000 reports there? and then the interlocutor usually withdraws, because it turns out that something like this is not an option.

This is where G Suite comes as a nice exception – it guarantees reliability and, through different pricing options, allows the company to grow.

Full control

G Suite is a very secure tool because the data stored in it is protected by advanced systems that Google also uses on its own servers. G Suite administrators can use very strict security settings. Verseo handles sensitive business customer data and takes privacy very seriously. Every user, apart from a strong password, also uses two-step verification. With SSO (single sign-on) enabled you can use your Google account to log in to applications – without the need to share the password with other services. Any suspicious user behavior is logged and Google immediately blocks login – this feature has repeatedly helped Verseo avoid data leaks.

The administration panel allows you to manage the entire instance from the back seat, regardless of where the users are. Back when we used hosting for 100 mailboxes, logging in it took 5 minutes before the administrator could see the list of accounts. Traditional servers are often not prepared to scale user accounts like that.

Thousands of ready integrations

G Suite allows the company to grow freely. The service comes with millions of integrations with third-party services – one of them may actually speed up your work. Before writing a line of code, it’s worth checking the G Suite Marketplace – what you’re looking for may already be there.

Verseo uses plenty of CRMs such as Hubspot, which come with many connected mini-apps. G Suite ensures compatibility with all of them. You can import your emails into the CRM, connect it to Google Drive, set notifications in Google Calendar – and then use it with Google Meet video meetings.

You can visit each plugin’s G Suite Marketplace page to check how many users have installed it, and see its star rating and reviews. Such applications will usually cost you just a few dollars per user or $50 for the whole company. That’s it! You don’t have to spend time and resources on coding your own solutions.

Companies can test software to see if it works for them – and then create their own version of these functionalities ideally suited to their needs. G Suite has no limits. If you decide that you need personalized software, we can always add it.

Convenience that encourages focus.

Once all the programs and plug-ins are integrated with G Suite, they become available from a single interface. In this way, instead of working in ten different windows, you get a view of all applications in one place.

G Suite saves Verseo employees time because they can write their detailed emails without leaving the inbox. The side panel displays all the most important client data pulled from the Hubspot CRM – lifecycle stage, contact information or history of contact with the company. You can also make changes to the CRM data directly from within Gmail if needed (e.g. when the customer’s phone number changes).

The larger the organization, the more time it saves. The few dollars paid for G Suite may actually be nothing compared to the benefits the implementation brings.

Cooperation in all conditions

All Google applications have their mobile versions for Android and iOS. Wherever you are, you can do everything from your smartphone.

With all the file editors at your fingertips you can share, comment or discuss files with others in real time. You no longer have to write a ton of emails or even use the chat window – in Google Sheets you just select specific cells and add a comment like “hey, take a look and let me know if it’s ok”

In G Suite, you can start creating a document on your mobile device and finish on your laptop, or do it the other way round. In the meantime, others can join – there is continuity, which saves time and money in the process. Sometimes 5 minutes is enough to make your last edit and let other people in the office continue where you left.  

Efficient onboarding and offboarding

The simplification of onboarding and offboarding processes is another advantage of SSO in G Suite. Employees can log in everywhere using their Gmail accounts. When a new person joins the team, it makes it easier to show them where to log in, what documents to download and read, and where to look for information. Similarly, it makes it easier to say goodbye to an employee when they quit. By blocking their Gmail account, you also block their access to all other applications at the same time.

The files the user has saved on the drive are not lost. You can simply transfer the ownership to someone else, or move the files to a shared drive. You can also create an alias using the address of a former employee. If the company does not take care of it, all emails sent to someone who no longer works at the company will be lost. By creating aliases using addresses of former employees, Verseo can redirect all business correspondence to a mailbox of a person in a similar position.

Savings

Ultimately, this leads to huge savings. The hosting server we’d used cost us 3-4k PLN a year because we needed such big storage space. By switching to G Suite Basic we get 30 GB per user. That’s a lot! This is just what we saved in server costs! And this price includes the whole suite of office applications. Moreover, regular hosting does not come with security features out of the box – this is something that’s paid for separately.

We also get a company chat where we can also share files, and Google Hangouts for video conferencing – all in a package. This is just more money saved for us, as competitive solutions would cost up to several dozen dollars per user.
